Webhelp is looking for a Receptionist to assume full responsibility for effectively managing the front office reception area in Glasgow as the first point of contact with all clients and guests and support related administration duties.

We need someone who not only has their ducks in a row but can assist with getting the team’s ducks all lined up too! In doing this, you will need to assist with day-to-day tasks such as administrative, scheduling meetings and event co-ordination activities.
What we require from you
- Greet all visitors to the building, issuing the appropriate security passes and ensuring all visitors sign in/out of the building - inform relevant parties of their arrival
- Organise client visits across multiple sites
- Deal with incoming calls/messages quickly and accurately
- Ensure accurate distribution of incoming and outgoing mail and organise couriers
- Keep telephone lists up-to-date and redistribute
- Manage the locker process throughout the whole site
- Manage the onsite/visitor parking allocation
- Provide support to the whole site and other sites through regular and ad-hoc tasks such as supporting with business meetings’ note taking, the collation of data and basic reporting
- Weekly/Monthly/Quarterly Business Review note taking
What you’ll need
- Previous reception or administration experience (Advantageous)
- Excellent communication and listening skills which can be applied with regular contacts and also create a professional and warm welcome to visitors
- PC literate with a working knowledge of industry standard packages such as MS Word and Excel
- Ability to multi-task
- Excellent time management and organisational skills
- Results focused and committed to providing outstanding service
- Strong team player with excellent attention to detail
- Ability to remain calm and retain control when faced with difficulty
- Must have a flexible approach and ability to think outside of the box
