This is an exciting new position for a Team Assistant to join our Executive Assistant Team to provide administrative support to the department leadership of c. 25 Heads of Product and Engineering in the growing R&D department of around 350 product and engineering staff.
THE TEAM
This role will be in the Executive Assistant Team within the Operations Function at Form3. You will be a part of a supportive team of passionate Executive Assistants who you'll meet with regularly for mentorship, to share knowledge, and to work together on team objectives that help support the strategy and mission of the most trusted provided of payment technology
THE ROLE
The role will report into the Executive Assistant Manager, this will be a new role to provide administrative support to the department leadership of c. 25 Heads of Product and Engineering in the growing R&D department of around 350 product and engineering staff. Other responsibilities include:
- Coordinate team calendars to schedule ad hoc and recurring meetings
- Provide support for department meetings to include preparing agendas, taking minutes, maintaining action and decision logs, and chasing follow-up actions
- Providing support in coordinating team off-sites, including venue selection, pinpointing recommended area accommodation, agenda planning, and coordinating team building events
- Team administrative tasks to include supporting in preparation, organisation and circulation of department documentation, collecting and collating information required by department heads, and liaising with wider teams to provide availability and information on behalf of the Heads of Product and Engineering.
- Working with the EA team to coordinate Executive attendance at R&D team meetings when necessary
- Creating, editing, and proof-reading documents and presentations
- Acting as a Form3 external representative
- Attend EA team meetings and work to achieve OKR goals set with the team to support the Form3 strategy and objectives
WHAT WE'RE LOOKING FOR
- 2-4 years of administrative experience
- Ability to work autonomously within a remote environment
- Excellent written and verbal communication skills with the confidence to ask questions and learn within a technical environment
- Experience within a technical or financial field is helpful
