POSITION PURPOSE

As part of our exciting and ambitious growth strategy we are creating a new role to help drive lasting change in the business, processes and people. You will lead on the venues administrative processes while supporting the senior team to deliver their day-to-day functions. Our culture is extremely important to us and, this role will be key in driving forward our values and providing key support to the teams around HR functions.

KEY RESPONSIBILITIES

  • Managing the office and administrative functions of the venue with a support team of two full time roles.
  • Providing support to the departments including regular recruitment, onboarding, appraisals and identifying training needs.
  • Managing the parking pass system and guest arrivals to the venue for meetings.
  • Driving the culture of the venue through team events and communications.
  • Managing the office facilities and liaising with third-party suppliers including the budget for supplies etc.
  • Supporting the directors and other senior managers with improving practices, and implementing new procedures, and ensuring they are adhered to.
  • This department will need to provide diary management for the teams and administrative tasks such as minute taking.
  • Providing some financial administrative duties for the departments around invoicing/PO’s/Capital expenditure spend forms.
  • Supporting the directors with travel arrangements, expense forms and general admin duties as required.
  • Any other duties which need leading on and improve the team operations.
  • Offering a highly confidential, flexible administrative support function.

PERSON SPECIFICATION

  • Experienced office manager who has knowledge of HR systems (rota’s, onboarding, training etc).
  • Highly proficient in Microsoft office including Outlook, Word, Excel and PowerPoint.
  • Diary management
  • Attention to detail with strong time management and organisation skills.
  • Self-motivated with a proactive approach.
  • Strong communication skills and administration skills.
  • Flexible and adaptable to change.
  • Working to tight deadlines whilst prioritising workload.
  • Able to operate with integrity, maintaining confidentiality at all times.

GENERAL INFORMATION

The requirements of the business are such that it is necessary to have a flexible approach and therefore some business-related travel to be able to work at our venues and operational sites will be required.
