Monday - Friday (8:30am-5:30pm)

AIM OF ROLE:

Actively manage a diverse portfolio of mainly residential properties to exceed targets against budgeted rent, operational running costs and occupancy. Run the day to day property management of the properties with support from the inhouse Facilities Management and Maintenance team. Ensure the vacant properties are presentable and marketed with the right agents to achieve quality tenants and income. Resolve issues in a practical, proactive and cost-effective manner.


KEY RESPONSIBILITIES:

  • Lettings (including AST's, some commercial tenancies , Tenancy at Will and licences). Maximise the return from the residential property portfolio in line with agreed strategies through effective marketing and agreed pricing strategies, maintaining appropriate records and reports.
  • Identify and appoint letting agents suitable for each property, and to agree and monitor their activities in order to maximise operational performance.
  • Operate a slick check in and check out process for our customers, including a firm but fair approach to building condition and deposit returns.
  • Property condition. Ensure the common areas of properties are well maintained and provide a "best in class" entrance to the residential assets.
  • Service charge management. keep appropriate records, setting annual budgets, adopting cost effective strategies to implement and satisfy the need for services.
  • Utility management. Keep appropriate records, ensuring necessary readings are taken, recharging all possible costs collecting monthly on-account payments, identifying ways to reduce energy consumption and landlord bills.
  • Property maintenance. Maintain/improve the condition of the property holdings either through enforcement of lease terms, service charge arrangements or at the cost of the company. Including the preparation and implementation of maintenance programmes and management of services. All to be managed in line with internal processes and timescales and alongside the company's internal Facilities Management and Maintenance team.
  • Shared Ownership. Handle annual rent increases, application to increase staircasing and sales of equity stake.
  • Property inspection. Regular inspection of your portfolio to ensure that no adverse rights are acquired, lease terms are adhered to, vacant properties are presentable and all matters are resolved.
  • General administration. Manage rent reviews, lease renewals, lease assignments and all other issues generated as a consequence of holding and leasing investment and development properties. Maintain the
  • property management system (Horizon), keeping all tenant and property details up to date with accurate and relevant information.
  • Credit control. Working together with the in-house credit controller dealing with arrears, and utilising external contractors when necessary for collection of arrears.
  • Assist in producing and then diligently managing realistic budgets, cash flows, and maintenance programmes for all properties.
  • Provide a monthly update on your portfolio's management activities and performance relative to budget including forecasts and any actions as required.

SKILLS & EXPERIENCE

  • Highly organised and methodical approach to working
  • Innovative approach, not scared to propose new ideas and ways of working
  • Very well presented and confident dealing with customers face to face
  • Proven experience within a residential (or commercial) property management or leasing role
  • Up to date knowledge of current property legislation related to residential assets
  • Property management accounting knowledge - statements of account, service charges, arrears recovery, etc.
  • Excellent written and verbal communication skills
  • Prior experience of working to deliver financial targets in the property industry
  • IT literate, including Word, Excel and TEAMs
  • High level of attention to detail.
